Getting website leads into AgencyZoom automatically

Most agencies using AgencyZoom still have a manual gap between their website and their pipeline: a form emails the office, someone reads it, someone retypes it into AgencyZoom. On a busy day that step gets skipped, and a lead that cost you real money to generate never enters a follow-up sequence at all.

There are three ways to close it, in descending order of reliability.

Option 1 — Direct API push

The cleanest approach. Your site posts the lead into AgencyZoom the moment it is submitted, mapped to real fields, assigned to the right producer, and tagged with a source so you can tell web leads from referrals in reporting.

You will need API access on your AgencyZoom plan and someone to do the field mapping once. After that it runs without anyone thinking about it. This is the setup worth paying for if web is a real lead channel for you.

Option 2 — Zapier

Slower to fire (typically seconds to a couple of minutes) but far more flexible, and no custom development. A single trigger can fan out: create the AgencyZoom lead, text the producer on duty, log the row in a spreadsheet for reporting, and post to a Slack channel.

Zapier is also the right answer if you use anything other than AgencyZoom — HubSpot, Salesforce, Pipedrive, Monday — or if you are likely to switch systems within a couple of years and do not want the integration hard-wired.

Option 3 — Email parsing

The fallback when API access is not available. Your form sends a rigidly formatted email that AgencyZoom's inbound parser reads into fields. It works, but it is brittle: change the form and the parsing silently breaks, often without anyone noticing for weeks.

Which fields to map

Whatever route you take, capture enough that a producer can call prepared rather than starting from zero.

  • Name, phone, and email
  • ZIP code and state — drives licensing and carrier eligibility
  • Lines of business requested
  • Personal or commercial
  • Current carrier, if they will say
  • Renewal or effective date — the single most useful field for prioritizing follow-up
  • Preferred contact method and time
  • Lead source and the page they came from
  • The full chat transcript or form notes

Renewal date is the field agencies most often skip and most often need. A lead renewing in three weeks and a lead renewing in seven months should not sit in the same queue.

Add an alert, not just a record

Creating the AgencyZoom lead is half the job. The other half is making sure a human knows about it fast. Pair the CRM push with a text or push notification to whoever is on duty, and an automatic confirmation email to the prospect so they know a real person is coming.

That confirmation email matters more than it sounds. It buys you time. A prospect who has been told "a licensed agent will call you within one business hour" is far less likely to keep shopping in the meantime.

Test it like a prospect

After setup, submit a real test lead from a phone on cell data, not from the office desktop. Confirm the AgencyZoom record appears with every field populated, the producer alert arrives, and the confirmation email does not land in spam. Then re-test any time you change the form — this is exactly the kind of quiet breakage nobody catches for a month.
